This booklet explains the structure of ENKCA, how you can influence what it does, how you can book the hall, and how you can get help to organise and publicise an event.

The Association
Any member of the association may influence the way ENKCA operates by volunteering, by telling the directors of their views, or by serving on the Board as a director.
Directors are nominated and elected by members of the Association.
The main work of ENKCA is done by
volunteers who give generously of their
time despite busy lives. Anyone in the community can volunteer to join the many individuals who run ENKCA, help to keep the hall functioning, and organise and publicise events.
ENKCA is a registered charity, a company limited by guarantee and the hall is a venue open to the general public. We are legally bound to follow certain procedures. We must also adhere to strict guidelines on health and safety, the protection of children and vulnerable adults and the correct use of our funds and facilities.
Ultimate responsibility for the operation of ENKCA, for compliance with laws and for the safe operation of the hall lies with the Board of Directors.
Booking the Hall
To avoid clashes and to ensure heating and other facilities are available when required all use of the hall should be notified to, and approved by, the hall booking secretary,  who must confirm the booking prior to use.

Guidelines for smooth running 
The Community Association encourages full and open access to the hall and its resources by its members and the wider community, at the lowest sensible price and with minimum regulation. 
Guidelines are published to help groups make best use of the facilities while understanding and complying with our duties as a charity and a public body.
Anyone hiring the hall is issued with the relevant rules. If you are organising an event involving children or vulnerable adults you should ask to see our Child Protection Policy. 
Our entertainment licence requires that every event conform to guidelines issued by Angus Council for safe and legal events.

As the hall becomes busier we must take care that its use by one group does not interfere with its use by others.
  • Please ensure that the hall is left as it was found. 
  • Please ensure all equipment is returned, clean, to its correct place.
  • Please make no alterations to fixtures, fittings or contents of the hall without the agreement of the ENKCA Board. 
  • If you wish to advertise an event or service the publicity team will be pleased to help you let people know. Please do not leave leaflets about, affix notices to the walls, or interfere with notice boards.
  • No item of electrical equipment should be brought into the hall for use unless it has been tested appropriately. 
  • No equipment found in the hall should be removed without the approval of the Board. An inventory is kept for insurance purposes and it is unfair if volunteers and hall users must spend time searching for items during stocktaking, testing or daily use . 
  • The Hall is unlikely to remain empty for any period of time and so groups will need to ensure that any ‘work in progress’ is tidied away between sessions. 
Car Parking
Car parking on Hall grounds is limited so it is helpful if priority is given to users who experience difficulty walking and those delivering or collecting materials and people . 
The bays marked with the disability symbol are intended for visitors with a ‘Blue Badge’ and anyone parking there should display such a badge. Even though there may be no-one with a disability attending your event someone requiring such a bay may be attending an event elsewhere in the Hall.
Hall Calendar
Bookings for the hall are displayed on-line. You can check the date and time of any event or the potential availability of an intended booking.. 
This calendar is used to co-ordinate the support needed by users of the hall, such as heating, cleaning etc. If you have booked the hall you should check that your event appears on the Calendar and that the date, time and room(s) are as agreed..

Help in organising events
If you wish to organise an event for ENKCA but need guidance, you can get help and guidance from the ENKCA Events Group. 
ENKCA members have experience of running a wide variety of functions and can offer advice and, possibly, assistance.

Help with publicising events
You may wish to publicise an event which you are organising. 
Material to be sent out to the Association's email list. and electronic posters for the display inside the Hall should be sent to the following :

Please remember, as with all ENKCA volunteers, members of the publicity group have other responsibilities and demands on their time as well as those of ENCKA and so need time to respond to any requests.
At least 4 weeks notice should be given to facilitate publication of your event and allow time for the publicity team to fit ENKCA work in with their private commitments.  

External notice board
Notices or fliers for the Notice Board outside the hall should be placed in hall letter box, by the Notice Board.  
Please do not try to fit your own material on any notice-board around the hall. All notices are prioritised and given appropriate prominence.

Information should be sent electronically ( as .doc, .docx, .txt, .jpeg or PDF files) attached to an email sent to   :   publicity@eassieandnevay.plus.com

Press Releases
Material for press releases should be submitted to the publication at least one week prior to  publication. All information, including the target issue date, should be supplied ‘together’ in one email.  Remember you have no right to demand that press releases appear in any paper, that is an editorial decision.
Remember that  essential information for any publicity includes :
Who  - is organising it   What - is the event about
Why - is it being organised) Where - will it take place
When - will it happen Cost of entry
Contact details    -  name, hone number and email address
Photographs should be attached to emails and sent in JPEG format.

Frequency of Publicity Updates
The speed with which an event can be publicised depends on a volunteer finding time to do it.  As a rough guide you may expect the following (but they are targets, not promises) :
External noticeboard : Changed fortnightly
Internal noticeboard : Changed fortnightly
Twitter and Facebook : As soon as possible
Web site and blog : Fortnightly
Community email : Fortnightly
The advised advance notice is 4 weeks in case the material arrives just after the medium has been updated.
